General
Is there a registration fee to join AsiaFlux Conference 2025?
All program in AsiaFlux Conference 2025, including the Flux Measurement Training, Scientific Session, Young Scientists Meeting, and Field Excursion are free.
Are the meals included?
Meals provided during the event include two snack packs and one lunch per day. Breakfast and dinner, however, are not covered by the organizer.
Which expenses are not covered by the organizer?
Flights to and from Pekanbaru, hotel accommodation, and meals outside the main event schedule are not covered.
Can I choose the hotel accommodation outside the options provided by the committee?
Yes—participants are allowed to do so. However, we recommend using the hotel accommodation that we listed, considering the distance with the event venue and the absence of online transportation in Pangkalan Kerinci.
Are there any optional activities available after the main event during the week?
Yes—participants may join the networking and social event, watch Frontier Sumatra, and attend the gala dinner and cultural performance. For more details, please see Program at a Glance, which provides information on the daily schedule.
Is there any dress code along the events?
No—participants may wear formal or comfortable attire based on their personal preference.
How to request special needs related to transportation needs or urgent matters, such as medical and accommodation issue?

Registration
Is it possible to join selected sessions without attending the entire week-long event?
We highly encourage participants to attend all scientific sessions, as they form the core of the event. Other programs—such as training, the young scientist meeting, and the field excursion—are optional.
How can I get the invitation letter for Visa application? When will I get the invitation letter?
Invitation letter will be issued once a participant is accepted. To request the invitation letter for visa application, please complete the required information provided at Visa Invitation Letter and send it to info@asiaflux2025.com.
If my abstract is rejected, will I be allowed to revise and resubmit it?
No—abstracts that are not accepted cannot be revised or resubmitted.
If my abstract is accepted but I am unable to attend the event, what should I do?
Participants who are unable to attend may choose one of the following options:
1. Nominate a co-author – Arrange for a co-author to present on your behalf. Please confirm by 10 September 2025 and inform us via email at info@asiaflux2025.com.
2. Withdraw the abstract – Submit a withdrawal request by contacting info@asiaflux2025.com.
Scholarship
What does the scholarship provide?
The scholarship covers round-trip airport transportation, shared hotel accommodation (including breakfast), and daily meals consisting of two snack packs and one lunch. Dinner is not included.
Scientific Sessions
Is there any additional expenses for publishing the abstract on conference book?
No—there is no additional expenses for publishing the abstract in the conference book.
Since there is a possibility of topic changes from what I originally enrolled in, when will the final topics be confirmed?
The final topic will be confirmed by 15 September 2025.
Since there is a possibility of a shift from oral presentation to poster presentation due to quota limitations, when will I receive a final confirmation?
The final presentation schedule (oral and poster) will be confirmed by 15 September 2025.
What audiovisual equipment will be available at the conference, and should I bring my presentation on a hard drive or USB?
The presentation must be submitted via email to info@asiaflux2025.com before 10 October 2025. Participants are also encouraged to bring a hard drive or USB as a backup. For more information, please visit Presentation.
Where will the oral presentation and poster be published?
Accepted abstracts will be compiled in the AsiaFlux 2025 Conference Book.
Training
How can I receive the training certification?
The physical certificate will be distributed immediately after the training session, while the digital copy will be emailed to each participant within one week after the event. Please note that full attendance of the training session is required to receive the certificate.
Field Excursion
What outfits and personal items are recommended for the field excursion?
Participants may wear comfortable clothing suitable for outdoor activities. Meals and basic medical supplies will be provided during the excursion. Participants may bring any necessary personal items. To avoid attracting insects, please refrain from using perfume or other scented products.
